All invoices submitted to LAO must include:
- Name of the service provider, address, and phone number
- Itemized breakdown of all fees (not block billed)
- Dates, times, and description of every service
- For experts: hours per service per date - block billing delays processing
- For process servers: names and addresses of parties served, documents served, dates, km travelled
- For translators: document titles, description of each document, word count in target language
Retain all invoices in the file even if not submitted with the account. The LAO Audit and Compliance Unit may request them at any time.

Discretionary increases are available where you can demonstrate exceptional circumstances that made the tariff clearly inadequate. The onus is on counsel to establish exceptional circumstances.
Not available for: block fee accounts, MLCM accounts, second chair accounts, or accounts that specifically exclude discretion.
Process: Seek all available district office authorizations first. If the tariff is still inadequate, submit the area-specific discretion request form with your account. Check off "Request Discretionary Increase" and provide detailed, case-specific justification addressing the criteria for your area of law.
Retroactive: Must be requested within 60 days of the deposit notice date. Submit via Legal Aid Online electronic document submission or LAOiFax.

What this tool is designed to do
Avorent helps lawyers draft disbursement authorization requests, additional hours requests, opinion letters, and other LAO correspondence. It is built specifically so that no client-identifying information needs to enter the system to produce useful output.
The tool produces templates and structured drafts with placeholders like [CLIENT NAME] and [CERTIFICATE NUMBER]. You fill in the identifying details locally in your own Word document or PDF before submitting to LAO.
What you should NOT enter
- Client names, dates of birth, or addresses
- File numbers or certificate numbers
- Opposing party names or identifying details
- Specific dates of incidents or offences
- Any information that would identify a specific individual to a third party
- Privileged communications between you and your client
What is safe to enter
- Matter type (family law, criminal, immigration, etc.)
- Disbursement category (expert assessment, transcript, translation, etc.)
- General circumstances (both parties legally aided, court-ordered assessment, indictable matter)
- Number of children and approximate age ranges
- General issues in dispute (custody, access, support, charter motion)
- General reasons why additional hours are needed
This level of information is the same as what you would include in a Google search or a general law society inquiry. It does not identify your client and is not privileged.
Where your input goes
When you use any AI-powered feature in this tool (AI Assistant, Disbursement Check, form generators, letter drafter), the text you enter is sent to Anthropic's API servers to generate a response. The response comes back to your browser. That is the complete path.
This tool has no database. Nothing you type is saved on any server controlled by the person who built this tool. No logs are kept. Nothing is stored between sessions. When you close the browser, the session is gone.
Anthropic's API is separate from the consumer Claude.ai product and operates under different terms:
- Anthropic does not use API inputs to train its models by default
- API data is subject to Anthropic's API usage policies, not consumer product policies
- Anthropic offers a formal Data Processing Agreement (DPA) for businesses requiring contractual zero-retention commitments
- The Anthropic API is the same infrastructure used by legal AI products including Clio Duo and Spellbook

How this compares to tools lawyers already use
Every major practice management tool used by LAO lawyers transmits data to third-party servers. Clio stores your entire file in the cloud. Email routes through Google or Microsoft servers. Case law research tools like Westlaw transmit your search queries. The legal profession has accepted these tools under a reasonable steps standard, not a zero-exposure standard.
This tool has less exposure than those tools by design, because it is built to never require identifying client information to produce useful output.
Law Society of Ontario considerations
LSO By-Law 9 requires lawyers to take reasonable steps to protect client information. Using this tool with general matter descriptions and no client-identifying information satisfies the reasonable steps standard. The output is a template that you review, complete with specific details, and submit - not an automated submission.
If your firm has specific data residency requirements or a firm-wide AI use policy, review those policies before using this tool with any matter-related information, even general descriptions.
The static reference features - no data transmission
The following features involve no API calls and transmit no data. They work entirely within your browser:
